The Operations Manager plays a pivotal role in supporting the daily financial operations and long-term goals of a high-end residential architecture studio. This individual works closely with the Director of Finance & Administration to ensure seamless coordination across teams, handles all billing and A/P, and assists in maintaining operational efficiency. The ideal candidate is highly organized, proactive, positive. and experienced in managing the financial, administrative, and operational needs of a design-focused team. He/she brings a “can do” attitude to the position and is excited to take on new challenges.
Studio Operations & Administration
• Manage license requirements
• Coordinate and maintain digital and physical filing systems, ensuring project documentation is organized and accessible.
Financial & Resource Support
• Managing invoicing, expense tracking, project set up, and budget reporting in coordination with finance and architectural teams.
• Accounts Payable; coordination with Interiors Department to wrap up final payments
• Track project timelines and staffing allocation in coordination with project managers and leadership.
• Support contract administration and fee proposals as needed.
• Ad hoc reports and projects, as needed.
Human Resources
• Assist with HR-related matters, including onboarding new hires, coordinating training, and managing employee records.
• Support recruiting processes by coordinating job postings, scheduling interviews, and managing candidate communications.

Qualifications
• Bachelor’s degree in Business Accounting or related field.
• 5+ years of experience in studio or office management, ideally within an architecture, design, or creative firm.
• Strong organizational, communication, and interpersonal skills.
• Experience with Deltek Vantagepoint is a must.
• Understanding of architecture/design processes and terminology preferred.
• Ability to prioritize and manage multiple tasks in a fast-paced, deadline-driven environment.

• Salary range: $85,000 – $100,000 (commensurate with experience)
