We are seeking a Procurement Manager to oversee all aspects of purchasing, logistics, and studio operations. This role is central to ensuring smooth project execution, clear communication between vendors and the design team, and flawless delivery of furnishings and custom pieces to our clients. The ideal candidate is detail-oriented, proactive, and thrives on organization, process, and follow-through.
Responsibilities
-Oversee the full procurement process for FF&E, lighting, textiles, and accessories — from proposals and purchase orders to final vendor payment.
-Place, track, and reconcile all orders; maintain accurate, real-time status updates in procurement systems.
-Liaise with vendors, suppliers, and fabricators to confirm pricing, lead times, and production schedules.
-Coordinate shipping, warehousing, and delivery logistics, ensuring timely and damage-free installations.
-Manage relationships with warehouses, freight companies, and messengers.
-Troubleshoot procurement issues including damages, replacements, and delays.
-Prepare and issue proposals, invoices, and purchase orders; reconcile vendor invoices against POs.
-Assist with tracking client retainers, payments, and funding related to procurement.
-Maintain clear communication with the business manager/accountant regarding procurement-related financials.
Studio Operations & Administration
-Set up new projects in internal systems.
-Maintain organized procurement files and templates to streamline workflows.
-Support the design team with scheduling, project installs, and coordination of logistics.
-Assist with general studio management as needed (supplies, sample library upkeep, scheduling vendor presentations).
Qualifications
-2–4 years of experience in procurement, purchasing, or project coordination — ideally within interior design is a must!
-Strong understanding of FF&E procurement workflows, vendor relationships, and high-end furnishings.
-Excellent organizational and time-management skills; ability to juggle multiple orders and projects simultaneously.
-Detail-oriented with a proactive approach to problem-solving.
-Proficiency in Excel/Google Sheets.
-Familiarity with QuickBooks or similar accounting systems.
-Strong written and verbal communication skills for vendor and client interaction.
-Positive, collaborative team player with a strong service mindset.
-Ability to work independently.
